Where your data lives

You choose a region for each agent, and its data stays there. Your workspace’s own records (billing, usage and the audit log) are kept with backcrew’s platform. Everything is encrypted at rest.

You can see the same information, with your real values, under Settings → Data location for the whole workspace, and on each agent’s page for that agent.

Data Where Kept for
Agent runtime: the running agent and its tools The agent’s region Until you delete the agent
Agent code: the files you deploy backcrew’s platform Until you delete the agent
Conversation memory, when memory is on The agent’s region 90 days by default; you can set 3 to 365 days per agent
Knowledge documents: their text and search index The knowledge base’s region (the same as its agents) Until you delete the document or the knowledge base. The original file isn’t kept; its name and size are, with your workspace’s records.
Logs The agent’s region 30 days by default, set per agent. Request metadata (time, model and token counts, without prompts or answers) is kept for 90 days.
Request results: answers waiting to be collected by the app or the API backcrew’s platform 1 hour
Conversation transcripts for the Inbox, only when an owner turns them on backcrew’s platform Off by default. When on: 30 days, 90 days or 1 year, as the owner chooses. Deleted at once when turned off.
Billing and audit records: credits, usage, purchases and the audit log backcrew’s platform While your workspace exists. Usage records hold token counts, not conversations.

A few details:

  • Deleting an agent removes its runtime, memory, code and conversation transcripts. Its logs stay until their retention period runs out.
  • Places, not codes. The app shows each region by its place name, for example Ireland. The regions open to your workspace are listed in the Agent Builder; see Regions.
  • Encryption. All of the data above is encrypted at rest, and connections to backcrew use TLS.
